10× more leads. Same team.

How a Dubai real estate company replaced manual lead processing with its first structured sales system and processed 10× more leads in the same five-hour daily window.

15 years In business before its first real CRM

Yolo Real Estate is a Dubai property sales and investment company.

The business had been operating for 15 years and had reached €10M in annual revenue. But every morning, the sales team still sat down with Google Sheets and Excel to process cold leads manually. Five hours a day.

The company had grown.

The sales system had not grown with it.

Five hours every day went into moving leads through spreadsheets.

Cold lead data was processed by hand. Names, phone numbers, areas, budgets and statuses were copied and updated manually. Follow-ups had to be remembered.

Duplicate or incorrectly stored data created more confusion. Some leads were lost.

And management could not answer a basic sales question with confidence: which lead sources were actually turning into paying clients? There was no structured funnel showing the full path from source to qualification to closing.

After 15 years in business, too much of the sales process still lived in sheets and people's heads.

5 hours a day. The team processed cold leads manually.

Leads and follow-ups were lost. There was no system making sure every lead had a next step.

No clear attribution. Management could not reliably see which marketing channels converted.

The team did not need more leads first. They needed a better way to process the leads they already had.

A CRM wouldn't help if it became another spreadsheet.

The obvious answer was to move the data into a CRM.

But simply importing rows from Excel would not fix the sales process.

The team still needed clear stages. A lead needed an owner. Follow-up needed a next step. The source of each lead had to stay attached to the deal so management could see what actually converted.

So we did not start by recreating the spreadsheets in Airtable. We designed the sales flow first.

Then we built the CRM around it.

We built the sales process before we built the views.

The existing lead data was moved from Google Sheets and Excel into Airtable. Then we structured the full funnel: lead source, qualification, sales stages, closing and investment tracking.

At each stage, the system creates the tasks the sales team needs to handle next. Follow-up no longer depends only on someone remembering a name in a spreadsheet.

Lead sources are tracked through the pipeline, so management can see where clients come from and how those sources convert. And the CEO has one view of the sales operation instead of asking the team to piece the answer together.

The CRM was the tool. The real change was giving the sales team one process to follow.

Same five-hour window. Ten times the output.

Before Hushflow

  • closeCold leads processed manually
  • closeLead data stored in Sheets and Excel
  • closeFollow-ups depended on memory
  • closeNo structured sales funnel
  • closeNo reliable lead-source attribution

After Hushflow

  • checkStructured lead processing
  • checkOne CRM for the sales pipeline
  • checkTasks created through the funnel
  • check10× more leads processed in the same time
  • checkLead sources and conversion visible

The team did not get ten times more hours. The five hours simply stopped disappearing into manual lead processing.

10× more leads processed. No new hires.

The team kept the same five-hour daily lead-processing window.

The output changed.

According to the source case, Yolo Real Estate processed ten times more leads in that time after implementation.

No leads were lost after the new system was introduced. Management could see the pipeline, lead sources and conversion data. And the sales process was documented and standardised for the first time in 15 years.
