Car Amigo buys, maintains, rents out and sells vehicles in Spain.

That means every car has a history. What it cost to buy. What was spent on repairs. Current mileage. Rental periods. Service dates. Who has the car right now.

The business had this information. The problem was finding it.

Basic questions about the fleet took four files to answer.

Ask how much had actually been invested in one car and someone had to look for the numbers. Ask when the next service was due and the date might be in another sheet. Ask who had a rented car and the answer could be in WhatsApp.

Some rental periods were tracked manually. Sometimes on paper. There was no structured fleet system keeping the history together.

Across the team, small operational tasks were taking around 20 hours every day. Not one dramatic problem. Just dozens of little things people had to check, update and remember.

Fleet data was scattered. Purchase cost, repairs, mileage and rental history were not kept in one structured system.

Maintenance depended on people. There were no automated service reminders.

We started with one record for every car.

We built the fleet database in Airtable. Each vehicle now has its purchase price, total investment cost, rental periods and mileage tracked in one place. The team enters information through forms instead of editing raw spreadsheets.

Then we connected the routine work around the fleet. The system tracks service dates and alerts the team when maintenance is due. Rentals have check-out and check-in steps, with mileage recorded as part of the process.

With the data finally structured, management can also see the economics of the fleet: cost per vehicle, rental revenue and total ROI.
